This policy explains how SawmillSmart processes personal data of visitors to sawmillsmart.com, in line with the EU General Data Protection Regulation (GDPR) and the ePrivacy Directive.

1. Data controller

2. What we collect and why

• Contact form — name, work email, company, and optionally phone, role, mill volume, production lines, planning approach, plan interest and your message. Purpose: to respond to your enquiry and prepare a possible offer. Legal basis: steps prior to a contract and our legitimate interest in answering enquiries (GDPR Art. 6(1)(b)/(f)).
• Analytics (Microsoft Clarity) — only with your consent: pages viewed, interactions, approximate location and device, and session replay. Purpose: understand and improve site usage. Legal basis: consent (Art. 6(1)(a)); withdraw any time via Cookie settings.
• Server logs — IP address, user agent, requested URLs, kept for security and troubleshooting. Legal basis: legitimate interest (Art. 6(1)(f)).

3. Retention

Enquiry data: kept for 24 months after last contact, then deleted or anonymised. Analytics: per Microsoft Clarity defaults. Server logs: 90 days. Leads are automatically purged after the retention period by a scheduled job.

4. Recipients and processors

We share data only with processors acting on our instructions:

• Microsoft (Clarity) — website analytics (consent-based). May involve transfer to the USA under Standard Contractual Clauses / EU-US Data Privacy Framework.
• Stripe — payment processing, only if you start a checkout.
• one.com — email delivery of enquiry notifications.
• Hetzner Online GmbH — site and database hosting within the EU.
• Ahrefs — privacy-friendly, cookieless web analytics.
• Fonts — self-hosted on our own servers; no font data is sent to Google.

5. International transfers

Where a processor is outside the EEA (e.g. US-based), transfers rely on Standard Contractual Clauses and/or the EU-US Data Privacy Framework.

6. Your rights

You have the right to access, rectify, erase, restrict or object to processing, to data portability, and to withdraw consent at any time. You may lodge a complaint with your local data protection authority. To exercise any right, contact [email protected].
